Gmail Integration

We let you send pitches directly from your own Gmail account. Emails come from your address, not a Medialyst domain.

Setup

  1. Go to Settings → Integrations
  2. Click Connect Gmail
  3. Authorize Medialyst to send emails on your behalf
  4. Select which Gmail account to use (if you have multiple)

What we access

We only request permission to send emails. We cannot read your inbox or access existing emails.

Sending Emails

Once connected, you can send emails directly from your workflow:

  1. Add email-related columns to your table:

    • Email (journalist's address)
    • Subject (your subject line — can be AI-generated)
    • Body (your pitch — can be AI-generated)
  2. Select the rows you want to email

  3. Click Send via Gmail

  4. Review the preview and confirm

Best Practices

Start small. Begin with 10-20 journalists, monitor responses, refine your pitch. Mass-blasting hurts your reputation, journalist inboxes, and response rates.

Quality over quantity. A well-researched pitch to 30 journalists will outperform a generic blast to 500. Focus on match quality.

Space out sends. Pacing looks more natural to recipients and email providers. We handle this automatically.

Keep signatures out of AI body columns. In your campaign's Gmail send column, set Signature to Default signature (or choose a custom one). Configure signatures in Settings → Email Signatures and let signature handling happen at send time.

Check spam folders. If replies seem low, ask a colleague to check if your emails are landing correctly.

Deliverability

Recommended: 30 emails per day

For best deliverability, we recommend sending no more than 30 emails per day per Gmail account - regardless of whether you're using regular Gmail or Google Workspace.

While Gmail technically allows higher volumes, staying well under these limits keeps you out of spam filters and maintains your sender reputation.

Need to send more? Connect multiple Gmail accounts in Settings → Integrations. This lets you scale volume while maintaining healthy sending patterns for each account.

New accounts need warmup. If you're using a fresh Gmail account or domain, start with 10-15 emails/day and gradually increase over 2-3 weeks.

Troubleshooting

"Authorization expired" — Reconnect your Gmail account in Settings → Integrations.

Emails not sending — Check that the Email column contains valid addresses. Empty or malformed emails are skipped.

Hitting limits — We queue emails that exceed daily limits. They'll send the next day automatically.
